Client Terms of Use

Effective Date: September 28, 2026

The Salon Serves You. We Make the Software.

The salon, spa or barbershop you are dealing with provides your services, sets its own prices and policies, and takes your money. ShadowPing LLC makes Zyvora, the software it runs on. Anything about an appointment, a treatment or a charge goes to the salon — they can sort it out, and we cannot.

1

Who These Terms Are For

These terms apply when you use something Zyvora runs to deal with a salon: booking online, the client portal, a pay link, checking in, a wallet pass, or the AI chat assistant.

They cover your use of that software. They are not your agreement with the salon, and they do not change it.

2

Who Does What

The salon provides your services, employs or engages the people who serve you, sets its prices, and sets its own policies. ShadowPing LLC provides the booking, payment and messaging software the salon uses.

Questions about an appointment, a service, a treatment or a charge go to the salon. We have no ability to reschedule you, refund you, or overrule a salon's decision, and we do not act on a salon's records without its instruction.

The salon's own policies apply to you, and they live on the salon's own site or are given to you by the salon — not in these terms. Those include:

If you cannot find a salon's policy, ask the salon for it before you book.

3

Your Account

You can use some things as a guest, but an account lets you see your history, manage appointments and store a payment method.

One person per account. Keep your sign-in details to yourself — including passkeys, which live on your device and are not something we can see or recover for you.

You are responsible for what happens under your account. Tell the salon, or us, if you think someone else has got into it.

To close your account, ask the salon. Closing it does not erase the salon's own record of services you received — the salon keeps those, and often must.

4

Booking and Check-In

A booking request is not confirmed until the salon confirms it. The software will tell you which you have. A time showing as available can still be declined — staff change, things overrun.

Where the salon offers it, you may be able to check in by scanning a QR code, tapping an NFC tag, or confirming your location on arrival. Your location is used only if you choose location check-in.

Cancellation windows, deposits and no-show fees are the salon's, and they apply to bookings you make here. Read them before you book.

5

Payments

Payments are processed by the salon's payment processor under that processor's terms. Zyvora does not store your full card number — the processor holds the card and gives the salon a token that stands in for it.

Depending on what the salon has enabled, you may be able to pay by a link it sends you, save a card for future visits, or hold a gift card or pass in your phone's wallet. Saving a card authorises the salon to charge it under the terms it shows you at the time, including for late cancellations where its policy says so.

Refunds, disputes and chargebacks go to the salon or, failing that, to your card issuer. ShadowPing is not a party to your transaction and cannot refund you.

6

Texts and Emails

The salon may send you appointment reminders, confirmations and receipts, which are part of the service you asked for. It may send you marketing messages only if you have opted in to receive them.

You can stop marketing messages at any time. Reply STOP to a text, use the unsubscribe link in an email, or simply tell the salon — any clear request counts, and it must be honoured. Words like stop, cancel, unsubscribe, end, quit and opt out all work.

Opting out of marketing does not stop appointment reminders and receipts. If you want those to stop too, tell the salon.

Message and data rates may apply. The salon is the sender of its messages and is responsible for them.

7

AI Chat Assistant

Some salons use an automated assistant to answer questions and take booking requests by chat or phone. It is automated and it can be wrong.

Anything it books is a request until the salon confirms it, the same as any other booking. Treat prices, availability and advice it gives you as provisional until a person confirms them.

Please do not put sensitive health information or card details into the chat. If a treatment depends on a health condition, tell the salon directly, on its intake form or in person — that is where it belongs and where it will actually be read.

8

Reviews, Referrals and Promotions

If you post a review through the Platform, it should be your own honest experience. Do not post reviews you were paid for, reviews of a business you have not used, or content that is abusive, defamatory, or reveals someone else's private information. We may remove reviews that breach this, and the salon may respond to yours.

Referral rewards, loyalty points, prize draws and sweepstakes are the salon's promotions, run under its terms and any official rules it publishes. Those rules decide what you get and when it expires. ShadowPing operates the mechanism, not the promotion.

9

Your Data

To book you in and take payment, the Platform collects your name and contact details, your appointment and purchase history, your messages with the salon, your location if you choose location check-in, and — if the salon uses them — intake answers, treatment notes and before-and-after photographs.

Your information is shared with the salon you are dealing with. That is the point of it: they need it to serve you. Each salon sees only its own clients. If you visit two salons that both use Zyvora, neither sees the other's records.

The salon decides how long its records are kept and what it does with them. ShadowPing processes them on the salon's behalf. So a request for a copy of your data, a correction, or deletion goes to the salon, and we will point you there — deletion usually means your account is closed and your personal details are removed or anonymised, while the salon keeps the transaction and treatment records it is required to keep.

10

Acceptable Use

When using the Platform, do not:

A salon can refuse to serve you and can block you from booking. We can suspend access to the Platform where use breaches this section. If a site we host is being used to harm you, you can report abuse.

11

Changes to These Terms

We may change these terms. A new version is shown to you the next time you book, sign in or pay, and you will need to accept it to continue.

If you do not accept, you can still deal with the salon directly — by phone, or in person. These terms govern the software, not your ability to be a client.

12

Disclaimer and Limits

The Platform is provided as it is. We do not promise it will always be available, and we are not responsible for the services the salon provides to you, the quality of your treatment, or a salon's decisions about its prices, policies or staff.

To the extent the law allows, ShadowPing is not liable for loss arising from your use of the Platform. Nothing here removes any right you have under consumer protection law, or any claim you have against the salon. Some jurisdictions do not allow these exclusions, and where that is so, they do not apply to you.

13

Governing Law and Disputes

These terms are governed by the laws of the State of Ohio, USA, without regard to its conflict of law provisions.

If you have a problem, please write to us first — most things are sorted out that way. Disputes between you and ShadowPing about the Platform may be brought in the courts of Ohio, and you may also bring a claim in your local small-claims court where your law allows it. Nothing in this section prevents you from exercising a right your consumer law gives you, including any right to bring a claim where you live.

Disputes about your appointment, your treatment or your money are between you and the salon, and this section does not cover them.
